In detail

Everything you need to know about conference assistants in Brussels

What is a conference assistant?

A conference assistant is the member of staff who keeps the programme running. They do not stand at the entrance but work in the meeting rooms: they prepare each room before the session, welcome the speakers, make sure timings are respected and pass the microphones around during questions from the floor. When a congress runs dozens of sessions back to back, they are the ones who stop a room from starting late or a speaker from getting lost in the corridors.

At Protéine, this role goes to rigorous, multilingual profiles who are at ease in institutional, scientific and non-profit settings. Since 1996, our teams have worked at more than 25,000 events in Brussels and across Belgium.

What does a conference assistant do during a congress?

Their tasks follow the rhythm of the programme:

  • Before the session: checking the room, the layout, the equipment provided and the signage.
  • When speakers arrive: welcoming them, taking them to the right room, reminding them of the running order and their speaking time.
  • During the session: managing people coming in and out, signalling the time remaining, passing the microphones around and relaying written questions.
  • Between sessions: directing participants to the next room and preparing the room for the next talk.

The assistant stays in constant contact with the coordinator, who keeps an overview of all the rooms.

Conference assistants in Brussels for international congresses

In 2024, Brussels was the world's leading city for international meetings, according to the Union of International Associations (UIA) ranking, with 388 congresses. These events bring together delegates from many countries, often with several working languages.

Our conference assistants speak French, Dutch and English, and on request we bring in profiles who speak other languages. They know the codes of institutional and European events: punctuality, respect for protocol and discretion. The European Commission is among the organisations that call on our teams.

Managing parallel sessions without losing track

Parallel sessions are when a congress gets complicated: several rooms start at the same time, participants change floors and speakers sometimes arrive at the last minute. We assign one or more assistants per room, depending on expected attendance. The coordinator links the rooms together and moves extra staff to wherever they are needed, in real time.

Welcome desk and meeting rooms: how are the roles shared at a congress?

At a congress, two teams work hand in hand. The welcome team receives participants at the entrance: registration, badge handout, cloakroom and general directions. The conference assistant takes over inside the rooms. For a one-day seminar, a single team can cover both; for a congress lasting several days, we recommend keeping the roles separate.

Seminars, general meetings and European events: the formats we cover

Our conference assistants in Brussels work on every format where a programme has to be kept on track: international congresses over several days, corporate seminars, general meetings, press conferences and meetings of European institutions. The denser the programme, the more their presence makes a difference: they absorb last-minute changes, such as a room move, a late speaker or an overrunning session, without participants noticing.

How we prepare the team for your programme

Every assignment starts with a scoping call with you: format, number of rooms, timings and the profiles you need. Your coordinator then organises a detailed briefing 24 to 48 hours before the event: programme, room plan, list of speakers, technical contacts and specific instructions. On the day, they stay on site or reachable at all times, and we offer you a debrief after the event.

For a complex congress or a European event, we recommend booking 10 working days in advance.

What makes the difference at your conferences

A community of more than 1,900 hosts, hostesses and stewards, from which we choose profiles used to congresses. You can build a list of preferred profiles to have the same team from one edition to the next.

No surprises on the day: a 24/7 emergency line, and a back-up plan in case of a last-minute absence.

Full Belgian compliance: contracts, Dimona declarations and NSSO (ONSS) obligations are handled by us.

Protéine works in Brussels, Flanders and Wallonia. Send us your programme: you will receive a free, no-obligation quote within 24 business hours.

FAQ

Frequently asked questions

Answers to the most common questions about our services and the way we work.

What is the difference between a conference assistant and an event hostess?

An event hostess receives participants at the entrance: registration, badges and directions. A conference assistant works inside the meeting rooms: room preparation, speaker assistance, managing timings and questions from the floor. At a congress, the two roles usually complement each other, and a single coordinator can manage both teams.

Can your assistants handle several parallel sessions?

Yes. We assign one or more assistants per room according to your programme and expected attendance, and your dedicated coordinator links the rooms together to adjust the teams in real time. If a session overruns or a room gets crowded, extra staff are moved to where they are needed.

How far in advance should we book?

For a complex congress or a European event, we recommend 10 working days. For a simpler seminar, a few days are often enough. Urgent requests are still possible through our 24/7 emergency line. Send us your programme as early as possible so we can select profiles used to your format.

Do your assistants speak English?

Yes. Our conference assistants speak French, Dutch and English, and on request we bring in profiles who speak other languages for international congresses. Let us know the working languages of your event when you ask for a quote, so we can build the right team.

How is the team prepared for our programme?

Your coordinator organises a briefing 24 to 48 hours before the event: detailed programme, room plan, list of speakers and specific instructions. On the day, they stay on site or reachable at all times, and a debrief is offered after the event.
