The job

Event hosting, seen from the floor

An event hostess does far more than smile at the door. She knows your running order, the venue layout and the names of your key guests. When a speaker is looking for their room or a delegate has lost their badge, she is the one they turn to. We select multilingual, well-presented profiles with a feel for protocol and real experience of conferences, trade shows and VIP events.

In detail

Everything you need to know about welcoming guests at your events

What is an event hostess?

An event hostess is the first person your guests meet. She welcomes them, checks their registration, hands them a badge, points them to the right room and answers their questions, from the first arrival to the last departure. At a conference, a trade show or a reception, she sets the tone of the event before anyone has even taken the stage.

At Protéine, this role is filled by hosts and hostesses selected for three qualities: a polished appearance, a genuine sense of service and fluency in several languages. Since 1996, our teams have welcomed the public at more than 25,000 events in Brussels and across Belgium.

What does an event hostess actually do on the day?

Her tasks vary with the format, but the same stages come up almost every time:

  • Before doors open: taking up position, checking guest lists, setting up the welcome desk and the badges.
  • As guests arrive: registration, handing out badges and materials, checking invitations, managing the queue.
  • During the event: directions to rooms and stands, information, support for speakers and VIP guests, managing the flow between sessions.
  • At the end: seeing guests to the exit or the cloakroom, and reporting back to the coordinator.

Each team receives a detailed briefing 24 to 48 hours before the event: running order, venue layout, VIP list, key messages and your brand guidelines. On the day, a dedicated coordinator stays on site or reachable at all times.

Multilingual conference hostesses in Brussels

In 2024, Brussels was the world's leading city for international meetings, according to the Union of International Associations (UIA) ranking, with 388 congresses. In that context, speaking each delegate's language is not a bonus: it is the bare minimum.

Our conference hostesses speak at least French, Dutch and English, and on request we bring in profiles who speak German, Spanish, Italian, Portuguese, Ukrainian, Mandarin or Arabic. They know the codes of institutional and European events: registering delegations, respecting protocol, discretion and punctuality. The European Commission is among the organisations that trust us with welcoming guests at their events. Inside the meeting rooms, our conference assistants take over for the sessions and the speakers.

Trade show hostesses in Brussels

At a trade show, the hostess is the first contact between your stand and your future customers. She catches visitors' attention, welcomes them, scans their badges, qualifies their needs in a few questions and directs them to the right salesperson at the right moment. Your sales team spends its time with qualified leads rather than on the welcome desk.

Our teams work at the major shows at Brussels Expo as well as at more specialised fairs. For a presence that goes beyond welcoming visitors, with product demonstrations or sales activation, our product specialists take over.

Hosts or hostesses: who should welcome your guests?

The job is the same, and our teams are mixed. The choice mainly depends on the image you want to project and the constraints of the venue: a formal gala, a car stand or a medical congress do not call for the same profile. We build the team with you, taking into account languages, experience of the format and the outfit you have in mind. For the day-to-day front desk of your offices rather than an event, turn to our corporate receptionists.

How many event hostesses do you need?

The right number depends less on the number of guests than on how they arrive. Four questions are enough to size the team:

  • How many entrance points need to be staffed at the same time?
  • Do guests all arrive at once, or spread out over time?
  • Does every guest need to be registered and given a badge, or simply directed?
  • Is there a cloakroom, are there parallel sessions or a VIP area to cover?

Your Protéine coordinator works out the staffing with you during the initial briefing, then sends you a free, no-obligation quote within 24 business hours.

What makes the difference when welcoming guests at your event

A community of more than 1,900 hosts, hostesses and stewards selected for their languages, their experience and their positive energy. Event after event, you can build a list of preferred profiles so you see the same faces at every edition.

No surprises on the day: a 24/7 emergency line, and a back-up plan in case of a last-minute absence.

Full Belgian compliance: contracts, Dimona declarations and NSSO (ONSS) obligations are handled by us. There is no paperwork for you to deal with.

Outfits that reflect your brand: thanks to our Mix & Match system and more than 50 accessory colours, the team wears the colours of your event.

Protéine works in Brussels, Flanders and Wallonia, for one-day events as well as assignments lasting several weeks.

FAQ

Frequently asked questions

Answers to the most common questions about our services and the way we work.

What is the difference between an event hostess and a receptionist?

An event hostess works at an event: a conference, trade show, gala or reception. She welcomes, registers and directs a large audience over a limited period. A receptionist runs the front desk of your offices day to day: visitors, switchboard, badges and deliveries. Protéine offers both, with profiles trained for each setting.

Do your hostesses speak Dutch and English?

Yes. All our event hostesses speak at least French, Dutch and English. For international congresses and European events, we can also bring in profiles on request who speak German, Spanish, Italian, Portuguese, Ukrainian, Mandarin or Arabic. Just tell us which languages you need when you ask for a quote.

How far in advance should we book event hostesses?

For a trade show or a reception, allow 5 to 10 working days depending on the size of the team. For a complex congress or a European event, we recommend 10 working days. Last-minute requests are still possible: call our emergency line, which is available 24/7.

Can the hostesses wear an outfit in our brand colours?

Yes. We adapt the outfits to your visual identity with our Mix & Match system: more than 50 accessory colours (scarves, ties, bow ties, pocket squares, hats). Technical or made-to-measure outfits are also possible. Our catalogue is available on request.

What happens if a hostess is absent on the day?

Your dedicated coordinator arranges a replacement from our community of more than 1,900 hosts, hostesses and stewards, and makes sure the new team member receives the same briefing. You keep a single point of contact, reachable at any time through our 24/7 emergency line.
